Privacy Policy

Effective date: 27 July 2026
FuelGuard is committed to handling personal information responsibly. This notice explains the information processed through the website, shop and technical-enquiry channels.

1. Scope and responsible party

This policy applies to the FuelGuard website, online shop, enquiry forms and related customer communications. FuelGuard is a trading brand. The contracting legal entity responsible for a specific quotation, invoice or order will be identified in the relevant commercial document.

2. Information we may collect

Depending on how you interact with us, we may process:

  • name, business or organisation and contact details;
  • billing, delivery and order information;
  • product, technical-support and fleet-enquiry information;
  • website usage, device, browser, IP address and cookie information;
  • communications, supporting photographs or documents you choose to provide; and
  • records required for fraud prevention, security, accounting and legal compliance.

3. Why information is processed

Information may be used to respond to enquiries, prepare quotations, fulfil orders, arrange delivery, provide product or technical support, administer accounts, improve the website, secure our systems, maintain business records and meet applicable legal obligations.

4. Lawful and limited use

We aim to collect only information reasonably required for a defined business purpose and to use it in a manner compatible with that purpose. Where consent is relied upon, it may be withdrawn subject to lawful processing and record-retention requirements.

5. Sharing of information

Information may be shared with authorised staff and service providers involved in hosting, ecommerce, payment processing, delivery, technical support, professional advice, system security or legal compliance. We do not sell personal information to advertisers.

6. Payment information

Where an external payment provider is used, payment-card or banking information may be processed directly by that provider under its own security and privacy terms. FuelGuard should not receive or store full card credentials unless expressly stated by the payment interface.

7. Cookies and analytics

The website may use essential cookies required for login, cart, checkout, security and site operation. Optional analytics or marketing technologies should be activated only in accordance with the applicable consent configuration. Browser settings can also be used to control cookies, although disabling essential cookies may affect site functionality.

8. Security and retention

Reasonable technical and organisational measures are used to protect information against loss, unauthorised access, alteration or disclosure. Information is retained only for as long as reasonably necessary for the purpose collected, contractual records, dispute management, accounting or legal requirements.

9. Your information rights

Subject to applicable law, you may ask whether we hold personal information about you, request access or correction, object to certain processing, request deletion where legally permissible, or raise a complaint about the way information is handled.

10. Enquiries and requests

Submit a privacy request through the FuelGuard contact page. Include enough information to identify the relevant interaction, but do not send identity documents or sensitive information unless specifically requested through a secure channel.

11. Information Regulator

Where a privacy concern cannot be resolved directly, a data subject may approach the Information Regulator (South Africa) using the Regulator’s official channels.

12. Changes to this policy

This policy may be updated when website functions, service providers, products or legal requirements change. The effective date above will be revised when a material update is published.

Commercial disclosure: The legal contracting entity, payment details and order-specific terms are stated on the applicable quotation, order confirmation or invoice.
