Fuel operators often need an answer immediately: should the delivery be accepted, should the vehicle continue, or should the fuel be quarantined? Field screening is designed to support that operational decision. Laboratory analysis answers a different question: what does an appropriate analytical method confirm about the sample?
What field screening is good at
Field tools are valuable because they can be used close to the operating event. They support:
- rapid observation before fuel is accepted or used;
- consistent comparison across deliveries or refuelling events;
- early identification of unusual density, visible water or another anomaly;
- photographic and event evidence; and
- a clear trigger for quarantine, repeat testing or escalation.
What laboratory analysis adds
An accredited or otherwise appropriately competent laboratory uses defined analytical methods, calibrated equipment, quality controls and reporting procedures. Depending on the test scope, it may assess properties that cannot be established by a hydrometer, visual check or rapid screening product.
Why one should not be represented as the other
A field result can be operationally important without being formal proof. Overstating a screening result can weaken a supplier dispute, maintenance claim or legal process. The correct language is that the observation was unusual, outside the defined field rule or required confirmation.
The role of chain of custody
Laboratory quality does not repair a poor sample history. Record who took the sample, where it came from, when it was sealed, how it was stored and who handled it. Use tamper-evident controls where the dispute risk justifies them.
A practical escalation model
- Screen: perform the defined field check and record the result.
- Repeat: verify an unexpected observation using a representative second sample where safe.
- Protect: stop, quarantine or isolate the affected fuel according to the operating rule.
- Retain: preserve samples and all transaction evidence.
- Confirm: instruct the appropriate laboratory scope and maintain chain of custody.
- Decide: use the combined evidence to resolve the operational, supplier or technical issue.
Good practice: the field tool should create an earlier and better laboratory decision—not attempt to replace it.
